Terms of stay at Hotel Traugutta 12
1. Subject of the regulations
a. The regulations define the rules for providing services, responsibilities, and staying on the premises of Hotel Traugutta 12 and are an integral part of the agreement concluded by making a reservation and paying a deposit.
b. The regulations apply to all persons staying on the premises of Hotel Traugutta 12.
2. Hotel day
a. Rooms and apartments are rented per day.
b. The hotel day starts on the day of arrival from 3:00 PM and ends at 11:00 AM on the day of departure.
c. It is assumed that the room is rented for 1 day unless the guest specifies otherwise.
d. If the guest wishes to extend the stay, they should notify by 10:00 PM the day before departure. Extending the stay until 4:00 PM incurs a fee of 50% of the daily rate. Extending the stay for another 24 hours or longer is charged at the full daily rate.
e. Deposits are non-refundable if the guest shortens their paid stay.
3. Rules of stay
a. Payment for the stay is collected in advance, i.e., before the start of the stay or on the day of arrival after check-in. A payment document (receipt or invoice) will be generated and sent to the email address provided in the reservation. It is possible to print the document on site during check-in.
b. The apartment may be used only after completing check-in formalities and full payment for the stay.
c. Guests are obliged to observe good neighborly conduct and comply with the regulations applicable in the building throughout their stay at any time of day.
d. Quiet hours in the facility are from 11:00 PM to 6:00 AM.
e. Unregistered persons may stay in the guest’s room from 7:00 AM to 10:00 PM.
f. Cancellation or annulment of a reservation involves withholding of the deposit paid in the case of payment made before arrival. Cancellation or annulment of an unpaid reservation results only in no reservation for the given day.
g. The lessor reserves the right to cancel a reservation without giving reasons for technical and other reasons beyond their control within 24 hours of making the reservation.
h. Pets are accepted (only in part of the hotel annex). The cost is 100 PLN/day, including a bed and a bowl.
i. Children up to 7 years old may stay free of charge at Hotel Traugutta 12 provided they stay in the room with an adult guardian and sleep on the existing bed. Baby cots are available free of charge.
j. Children on the premises should be under constant supervision of adults. Legal guardians are responsible for any damages caused by children.
k. Smoking of tobacco products and electronic cigarettes is strictly prohibited throughout the entire facility. The use of psychoactive substances is also forbidden. Violation of this rule will result in a fine of 1000 PLN.
l. In case of an unjustified fire alarm activation, the guest will be charged an additional fee.
m. Guests must use apartments exclusively for residential purposes. Organizing parties in rooms is prohibited.
n. Hotel Traugutta 12 is obliged to ensure conditions for a safe and comfortable stay for the guest, including maintaining confidentiality of guest information.
o. Hotel Traugutta 12 provides room cleaning and necessary repairs of equipment during the guest's absence.
p. Hotel Traugutta 12 may refuse service to a guest who grossly violated regulations during a previous stay, causing damage to hotel property, other guests, or persons in the hotel, or otherwise disturbing the hotel’s peace.
4. Guest responsibility
a. The guest is fully responsible under Article 415 of the Civil Code for any kind of damage or destruction to the equipment and other devices in the apartment, even if caused unintentionally.
b. The guest is obliged to immediately notify the Reception of any damage to property/equipment of the apartment, as well as report any other irregularities without delay.
c. Hotel Traugutta 12 is not responsible for loss or damage to guests’ belongings.
d. Items left by the guest in the apartment (after departure) will be sent to the address indicated in the registration card (without value indication – insurance). Hotel Traugutta 12 will charge the guest for shipping costs.
5. Liability of Hotel Traugutta 12
a. Hotel Traugutta 12 is not liable for items brought in by guests if damage occurred due to the nature of the item, force majeure, fault of the guest or persons accompanying or registered with the guest.
6. Left items
a. Personal use items left in the hotel room by a departing guest will be sent to the address provided by the guest at their expense.
b. According to the Civil Code, if the guest does not provide instructions for sending the left items, Hotel Traugutta 12 will store them at the owner’s expense for one year, after which these items become the property of Hotel Traugutta 12.
c. If it is not possible to call the guest to collect a found item within 2 years from the date it was found, the item becomes the property of the finder.
d. Claims for compensation for damage resulting from loss of items brought into Hotel Traugutta 12 expire one year after the guest ceases using the hotel’s services.
7. Complaints
a. Guests have the right to file complaints if they notice deficiencies in the quality of the provided services.
b. All complaints are handled by the management of Hotel Traugutta 12. Please send complaint claims to biuro@t12.travel.pl.
c. Complaints should be submitted immediately after noticing deficiencies in the service standard.
8. Card data processing
To guarantee the reservation and settle hotel services, we may ask for payment card details. These data:
a. Are transmitted only through secure, certified payment systems compliant with security standards (including PCI DSS).
b. Are used only to authorize reservations, collect payments, or perform possible pre-authorization of the amount.
c. Are not stored in the hotel’s systems beyond the period necessary to process the payment.
d. Are processed based on the necessity to perform the hotel service contract and to secure hotel claims.
The guest has the right to access their data, correct it, and request restriction of processing in accordance with applicable laws.
9. Final provisions
a. In accordance with Regulation (EU) 2016/679 of the European Parliament and Council of April 27, 2016, we inform that the personal data administrator is PPH "LEGS" Sp. z o.o., ul. Zgierska 48/52, 95-070 Aleksandrów Łódzki, Poland, VAT ID: 947-00-05-732.
b. Signing the registration cards by the guest constitutes acknowledgment of the regulations, acceptance of its content, and consent to sending invoices electronically to the email address indicated in the registration card.
c. The guest has the right to access and correct their personal data.
d. The guest may not make changes to the apartment and its equipment.
e. Hotel Traugutta 12 has a video surveillance system installed. Monitoring is used to improve the safety of hotel guests. Monitoring data is stored for 7 days and may be made available to authorized services upon request.
f. Using Hotel Traugutta 12 services constitutes acceptance of these regulations.
